Identified - MTSS Student Plans - State Admin Role Update

We have an update regarding the MTSS Student Plans - State Admin role. Previously we communicated that this role is NOT valid role and if selected this role would not result in any access.

ALSDE has approved the removal of the MTSS Student Plans - State Admin role within the Role properties selector. Any Roles that had this selected will have it removed, and the option itself is being removed. Testing is completed and we will be completing this work in production shortly. We will let you know when this update is completed.

Update - The team is investigating multiple issues with MTSS roles and access permissions.

1. Currently 16 districts are not seeing the new MTSS Student Plan roles in their SIS. The districts impacted include: Alabama Department of Youth Services, Geneva City Schools, Geneva County Schools, Greene County Schools, Gulf Shores City Schools, Guntersville City Schools, Hale County Schools, Haleyville City Schools, Hartselle City Schools, Henry County Schools, Homewood City Schools, Hoover City Schools, Houston County Schools, J.F. Ingram State Technical College, Floretta P. Carson Visual and Performing Arts Academy, Freedom Preparatory Academy.

This issue is now Resolved. All 16 Districts now have the new roles available in SIS.

2. The new MTSS Student Plan roles will take effect in the dashboard starting today for those districts who have the roles available in the SIS and are using them to assign access.

a. Note1: If a user has both a role assigned in the SIS and a role assigned previously that are different from one another, the user will granted access based on the role with greater access.

b. Note2: Once all districts have the additional roles we will communicate a target date to solely use the SIS roles.

c. Note3: The MTSS Student Plans - State Admin role is NOT valid role. If selected this role will not result in any access.

3. We are continuing to investigate multiple issues that have been reported regarding MTSS Interventions access for teachers. We are reaching out to the individual districts and will provide updates as we have them via the support tickets.

Identified - The PowerSchool Development team has been working on a fix for this automated process.

Currently, Districts are being provided with flat files to be imported that contain the exported stored grades. Prior to import, please be sure to make sure that the field in the import file, datestored, is filled with the import date prior to import.

Importing those records without the datestored filled may cause student records transfers for that student to fail. We have a community article that covers what this causes and how to contact support to help resolve it.

Identified - There is an identified issue with printing MTSS Reports, where data appears for incorrect dates or some dates show no data. This problem is specific to the print functionality. In all other areas, including Intervention Analytics and other parts of the MTSS Interventions application, the data is stored and displayed correctly with the accurate date and time. This issue is scheduled to be resolved in the upcoming 24.10 release in November.

Monitoring - The scripts have been completed, but the restarts are taking longer than originally scheduled. We are extending the maintenance window by 1 hour, and this will be completed by 1am, Central Time, Aug 21.

Once completed, we will be monitoring SIS performance across all AL instances.

Update - PowerSchool will be deploying data cleanup scripts to correct the data condition that is causing this issue. After this is done, PowerSchool will be scheduling ALL AL districts SIS instances to be restarted at 8pm, Central time. There will be a maintenance post for this restart window.

Identified - PowerSchool has identified a data condition on some courses that may cause the Automated/Walk In Scheduler to fail to complete. This is normally observed when attempting to use the Automated Schedule function on the student Modify Course Schedule page. The user will see that the process is working, but then the browser times out, and the process never completes. In addition to not completing, the process will continue looping, causing potential performance issues until a restart of the SIS application is completed.

PowerSchool is working to develop a fix for the data condition that is causing this loop and is also working to implement code changes that will prevent the loop from happening. When the fix for the data condition is finished and approved by ALSDE, this will be applied by PowerSchool and restarts of the SIS applications will be scheduled.

There is no action needed by the districts at this time.

Identified - PowerSchool and ALSDE are aware that there was a reported outage with the Enterprise Controller server yesterday. Due to the outage, districts may see alerts stating Enterprise Controller jobs failed yesterday. These should be resolved with the next scheduled run of those jobs.

Details on next scheduled run are located on the Enterprise Controller Sync Job Dashboard in your SIS instance.

If you are still experiencing errors after the scheduled run, please enter a support ticket.

Alternately, if the you would like, you can select the run now action button, which will trigger an immediate run of the Sync Job.
